Summary

Secure World Foundation is seeking a proactive, detail-oriented professional to join our team as a full-time Administrative Assistant in our headquarters in Broomfield, CO. Experience in general administrative duties, event planning, social media and website management is required.  Some travel is also required.

Essential Duties and Job Functions, including, but not limited to:

OPERATIONS SUPPORT

  • Arranging weekly staff meeting, recording minutes and distributing weekly report to President and staff.
  • Word processing, desktop publishing, electronic media design and distribution.
  • Updating the website.
  • Creating and distributing the bi-monthly newsletter.
  • Ensuring SWF publications and SWF-supported publications are current, reproduced and available to staff for distribution.
  • Ensuring clerical accountability by accurately maintaining project and accounts payable files.
  • Updates and maintains shared database of contacts.
  • Event planning and execution – Lead planner for the SWF annual meeting, staff retreats and project meetings, as assigned, including: preparing documents; providing travel support for speakers and other participants; being the general liaison with participants, caterers, venue staff, speakers, and/or partners; assisting during the event; and doing any follow-up required after the event.

PROJECT SUPPORT

  • Working closely with the DC admin to provide complete and consistent event support and reporting.
  • Arranging travel and accommodations for speakers and invited guests from around the world.
  • Communications support, including event invitations and website updates.
  • Drafting contracts.
  • Working with the accountant to correctly code and process Foundation accounts receivable and payable.

OFFICE MANAGEMENT - Manages office environment by ensuring:

  • Office equipment is in working order in all SWF offices.
  • Staff is adequately supplied to perform their duties.
  • Vendor relationships are monitored and periodically reviewed to ensure service is the best value.
  • Colorado facility is maintained to provide a presentable, safe and healthy work environment. 

Qualifications:

  • 5 to 8 years of experience working with an organization in an administrative capacity.
  • Excellent computer skills, including proficiency in Microsoft Office products, experience with electronic collaboration tools, and the ability to review, recommend and implement new software programs.
  • Experience working as a member of a diverse, geographically scattered team.
  • Strong verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Strong interpersonal skills, a flexible attitude, and ability to work autonomously with minimal supervision.
  • Interest in SWF initiatives and goals.
  • Professional experience living and working in more than one culture is a plus.
  • Ability to perform professionally in English is required and skill in at least one additional language is highly desirable.

Salary range: $38,000-$43,000 + benefits
